Clinic Policies
Below is a brief description of some of our clinic policies. This list is not exhaustive. Complete policies can be obtained at the office.
Digital Coms
We make every effort to protect patient privacy via secure encrypted communications. However, we can not be responsible for privacy on your end. Please make effort to ensure your environment is quiet and free of anyone you do not want to see or overhear communications. Texting and televisits are not a replacement for traditional physical appointments. Digital communications have inherent limitations in physical examination that may cause misdiagnosis. Any concern for a serious condition should be seen by Dr. Henley or other physician in-person.
HIPAA
Personal Health Information or PHI will be used in accordance with state and federal laws. PHI will only be shared with approved and necessary entities such as insurance companies, hospitals, and physicians partnering in your care. For full HIPAA policy click here.
Payment
Copays, coinsurance, and other fees are expected at the time of service. Patient balances should be paid within 30 days. Payments can be made on the Healow app, patient portal, or by calling the office.
No-show
No-shows have significant negative impact on medical practices. It not only causes loss of clinic revenue, but it prevents another patient from being seen in that appointment slot. Our policy is to allow a maximum of three no-shows within a twelve month period. At this point, we will no longer be able to schedule any further appointments and request that you seek medical care at another clinic.
Refills
Requests for refills cannot be accommodated on a same-day basis. We request a minimum of 24 hours to refill any requested prescription. Please plan ahead and request refills 3 days before running out. A visit is required every six months for patients on chronic medications including stimulants.
Vaccine
Dr. Henley is pro-vaccine. He encourages all patients to be up to date on all immunizations. However, he does not practice a policy of exclusion. He will accept patients who are unvaccinated or observing an alternative vaccine schedule. He will not sign any exemption forms unless there is a legitimate medical reason for exemption.
